WhatsApp Business app or the WhatsApp Business Platform: which one does your business need?
A plain comparison of the free WhatsApp Business app and Meta's WhatsApp Business Platform (often called the WhatsApp API): who each one suits, what they cost, and when it is time to switch.

Meta offers two products with almost the same name. Both let a business talk to customers on WhatsApp, but they are built for very different situations. Picking the wrong one usually shows up as missed messages, a shared phone passed around the office, or a bill you did not expect.
Here is how they differ, in plain terms.
The WhatsApp Business app
This is the free app you download from the app store. It looks like normal WhatsApp, with a few extras for businesses:
- a business profile with your address, hours and website
- a catalogue of products
- labels to sort chats
- quick replies, a greeting message and an away message
It is a good fit when one or two people answer messages and the volume is manageable on a phone. Setup takes minutes and it costs nothing.
The limits appear as you grow. The app is tied to one phone, with only a few linked devices. There is no proper way to assign a chat to a colleague, so two people can end up answering the same customer, or nobody does. Automation stops at the greeting and away messages, and there are no reports that tell you how quickly your team replies.
The WhatsApp Business Platform
The platform (people often call it the WhatsApp API) has no app of its own. You use it through software such as a shared inbox, which connects to Meta on your behalf. That changes what is possible:
- many people can answer from the same number, each from their own computer
- chats can be assigned, noted and tracked, so nothing falls through the cracks
- you can add automated replies and an AI assistant for routine questions
- you can start conversations with approved message templates, for example order updates or appointment reminders
- you can connect it to your store, CRM or other systems
The number stays registered to your own Meta business account, so it remains yours if you change software later.
What each one costs
The app is free.
On the platform, Meta charges per message for the templates you send to start or restart a conversation. Replies you send within 24 hours of the customer's last message are free. Rates depend on the type of template and the customer's country, and Meta bills them to your own Meta account. On top of that, you pay for the software you use with the platform.
For most small and growing businesses, the bulk of messages are replies to customers, so Meta's charges stay modest.
Can you keep your current number?
Usually, yes. A number that is active in the WhatsApp or WhatsApp Business app has to be moved to the platform when you connect it. Meta has also introduced an option for some app numbers to work with the platform and the app at the same time, so check what your number qualifies for during setup.
When it is time to switch
Consider the platform once one of these sounds familiar:
- More than two people need to answer WhatsApp messages.
- Customers say they waited hours, or never heard back.
- You want to send order confirmations or reminders without typing each one.
- You would like routine questions answered at night and at weekends.
- You want to know how fast your team replies and what customers ask most.
A quick comparison
| Business app | Business Platform | |
|---|---|---|
| Who answers | One phone, a few linked devices | Your whole team, each with a login |
| Assigning chats | No | Yes |
| Automation | Greeting and away messages | Automations, chatbots and AI |
| Starting conversations | Broadcast lists | Approved templates |
| Cost | Free | Meta's template fees, plus software |
The short version
Start with the app if you are one person answering a handful of chats a day. Move to the platform when WhatsApp becomes a real sales or support channel that more than one person looks after.
If you are ready to move, SocialChat connects your number to the platform and puts WhatsApp, Instagram and Messenger in one inbox for your team. You can choose a plan and connect your first channel the same day.
